About this role

NawiriGroup is foremost known as a leading safari travel group, offering great personalised nature-based travel experiences across the African continent. Our core purpose goes beyond delivering exceptional safaris. We are a platform that connects local communities, expert partners, investors, and travellers to drive positive impact at scale within some of Africa’s most iconic wilderness areas.

Since inception, we’ve supported national parks, community-led conservancies, local communities and governments with many initiatives and millions of dollars in their efforts to safeguard and manage some of Africa’s most important wilderness areas. We believe travel should be a force for good and our vision is to use responsible travel to create a sustainable and prosperous future for natural ecosystems in Africa and the local people living in and around these unique, globally important areas.

Today, through the Group’s various subsidiaries across multiple countries, which includes Asilia Africa, a leading safari operator with 17 bespoke camps and lodges across Kenya, Tanzania, and Uganda, with a full-service DMC offering, and the multi-award-winning African safari tour operator Go2Africa, we employ close to 1,200 people in sub-Saharan Africa all dedicated to delivering immersive experiences while working towards our goal of delivering impact at scale.

Purpose Driven

  • Our shared purpose is encapsulated in our group name - ‘Nawiri’ is Kiswahili for ‘to flourish/thrive’, reflecting our vision of creating a future where vital ecosystems and local communities thrive together.

  • We are proud as a group to be B Corp certified, a testament to our dedication to balancing the needs of people, planet, and profit in everything we do. Our journey with B Corp started more than a decade ago when Asilia qualified in 2012, the first African Travel company to do so.

  • Last financial year we contributed US$9.8m to nature protection and positive impact projects. We continue to grow our impact reach and agenda.

  • We have ambitious commercial growth plans and are expanding our operational, commercial, analytical and technology capabilities to enable the further scaling of both our guest experiences and travel offerings.

Why should you work for us?

  • Join a team that has continuously led the way in our industry, ranging from creating cutting-edge technology platforms to deploying innovative solutions to lead the way in sustainable operations.

  • We take pride in creating a culture where people grow, find purpose, and contribute to progress that reaches far beyond the organisation. Training and development are at the heart of this journey, and we are proud of the number of in-house programmes that we have available, including a training library offering over 130 different training modules.

  • Enjoy the flexibility of a hybrid working arrangement to get the most out of your working hours. Combine work in one of the Nawiri Group offices, located in the picturesque cities of Cape Town, Nairobi, Arusha, and London, with the option of remote work.

ROLE PROFILE

Take ownership of pre-production coordination, ensuring incoming production requests are processed accurately, assigned promptly and progressed within agreed service levels. Act as the central coordination point between requesting departments, and Product and Media Content Production, Rate Production and Content Ops managers.

Maintain disciplined workflow controls, resolve routine operational issues and coordinate timely action on complaints and outstanding tasks. Provide reliable production reporting and communicate blockers early so that managers can make informed decisions and protect delivery timelines.

CORE RESPONSIBILITIES

1.Incoming requests and production readiness

  • Monitor the Production Inbox throughout the day; acknowledge, assess and categorise renewals, amendments, queries, standard production and fast-track requests within agreed turnaround times.

  • Check that requirements, supporting documents and approvals are complete and accurate. Obtain missing information promptly and make dependencies visible before production begins.

  • Create traceable Asana tasks with a unique tracker, clear instructions, supporting links, responsible owner and due date. Direct each request to the appropriate team or department.

  • Ensure fast-track requests receive a same-day response and standard requests are processed within agreed service levels. Review and triage all incoming emails by the end of each working day.

2. Coordination across teams and departments

  • Coordinate task handovers and dependencies between Content Production, Rate Production and requesting departments, ensuring responsibilities and expected timelines are understood.

  • Monitor assigned work through to completion, follow up on outstanding actions and confirm that completed work addresses the original request.

  • Identify conflicting priorities, workload constraints and overdue tasks early. Recommend adjustments to Content Ops managers and communicate agreed changes to affected teams.

3. Process compliance and operational judgement

  • Apply approved processes, procedures, tasking standards and approval requirements consistently, maintaining a complete audit trail.

  • Resolve routine issues within delegated authority. Escalate unusual requests, exceptions and decisions outside that authority before taking action.

  • Identify recurring workflow problems and recommend practical improvements; implement changes once approved.

4. Issue escalation and complaint resolution

  • Communicate blockers, risks and potential delays to the relevant Content Ops manager as soon as they are identified, stating the impact, action taken, responsible owner and proposed next step.

  • Log and coordinate production complaints and urgent issues, confirm an action owner and resolution timeline, and follow up until the matter is resolved.

  • Keep stakeholders informed of progress and revised timelines. Escalate unresolved issues promptly and confirm closure with the requester and relevant manager.

5.Records and document control

  • Maintain accurate current and upcoming season renewal records, receipt trackers, audit dates and production progress records across the relevant service types.

  • Keep pre-production folders, source documents and Rate Sheet links on Bazaruto current, organised and accessible. Archive or remove outdated material in line with approved procedures.

  • Maintain consistent task statuses and records so that workload, ownership, dependencies and completion can be verified.

6.Production reporting and management communication

  • Prepare accurate weekly workflow activity reports and monthly production summaries covering request volumes, production and service types, time to task, turnaround times, service-level performance and outstanding work.

  • Validate reporting against Asana, inbox receipt data and production trackers. Reconcile discrepancies and explain exceptions before submission.

  • Provide Content Ops managers with concise updates on priorities, overdue work, blockers, complaints and actions requiring management support. Highlight trends and recommend improvements.

Requirements

SKILLS AND EXPERIENCE

  • 4-5 years’ experience in an administrative role.

  • Demonstrated experience in production coordination, content operations or a comparable workflow role, including coordinating work across multiple teams and departments.

  • Strong planning and prioritisation skills, with the judgement to manage competing deadlines, follow procedures and escalate at the right time.

  • Confident, professional communication and stakeholder management, including handling complaints constructively and securing timely responses.

  • Proficiency in Asana or a similar task management system, Excel and production reporting, with the ability to validate data and explain performance trends.

  • High attention to detail, reliable record-keeping, and proactive follow-through. Experience in travel product content and rate production is advantageous.
